For InterUM, Maastricht University’s internal staffing agency, Gosidesign developed a completely new and modern website, complemented by an advanced custom application: the scheduling application for exam proctoring. This digital solution was specifically designed to efficiently organize and extensively automate the entire process surrounding the deployment, scheduling, and time tracking of proctors.
The scheduling application forms the heart of InterUM’s operational processes. Invigilators can easily enter their availability via a user-friendly interface, which automatically takes into account their contractual hours and agreements. This gives them greater insight and control over their assignments, while significantly simplifying the administrative process.
Clients within Maastricht University can create, manage, and allocate the necessary invigilation capacity for exams within the application. Based on availability, contract types, and pre-set deployment rules, invigilators are efficiently assigned. The system supports various contract types and complex scheduling rules, making the application flexible for use within the academic context.
Once the schedule is final, the application automatically converts the scheduled exams into digital timesheets. These hours are then linked to an external registration system where the full time tracking takes place. Both invigilator data and hours worked are exchanged with this external platform in a structured and secure manner. This eliminates manual data entry, minimizes errors, and creates a fully automated workflow from planning to accountability.
